Requesting an Communications Distribution – Internal, Colleges, Departments

We are happy to assist university approved entities in sending emails to their alumni base. According to University policy and Can Spam Act laws, we are not allowed to provide you with alumni email addresses; however, we are happy to send your information on your behalf.

We will distribute it through our email system utilizing the university’s alumni database – which includes all alumni who are related to your college, department, institute, etc. This will mean that our emails will reach a broader audience than a “home-grown” list which is against the university’s mass communication policy. We can send text emails as well as HTML emails. We just need for you to provide the text or the HTML code.

Why does this benefit you:

  1. Alumni typically update their contact information with the university or with the alumni association on a daily basis so we most likely have more up-to-date information.
  2. We manage opt-in and opt-out requests per Can Spam Act laws. It is required that in every email sent from any entity (in this case the university, clubs and any college or department) offer an opportunity to opt-out of emails from that entity – Clemson University. We have the code in all emails sent through our system to handle this request automatically.
  3. IF SOMEONE SENDS AN EMAIL TO THOSE INDIVIDUALS who have requested to opt-out – even though it is not coming from the university email system, but represents the university (I.e. Your email account or anyone in your department) – the university is then liable for all fines associated with not honoring their request which can be up to $50,120.00.
  4. Since university communications policies state this is not allowed, those who send the email may be liable for the fines.

Clemson University maintains information containing biographical, academic, demographic and gift information on alumni, donors and friends. This information exists exclusively to support the work of Clemson University and to assist the University community in transacting business related to Clemson University programs. Much of this information is protected under various state and federal laws and may not be used in violation of those laws or without an individual’s consent. The Clemson Alumni Association seeks to provide assistance for programs, communications, and events, which bring together Clemson alumni, donors, and friends. In order to provide the best possible service to those with legitimate needs for such information, and at the same time maintain the confidentiality of the information entrusted to us by our alumni, donors, and friends we ask that you submit your request for contact information, including mailing lists or demographic information, via this online form. Email addresses will not be released, but you may submit a request for an email distribution via this form as well. Thank you in advance for your partnership. To request an email, please follow this process: 

  1. In order to process your request, please begin by setting going to the Information Request Form Page (you can also find this on www.clemson.edu/alumni and hovering over “resources” in the upper right corner and a drop down will appear where you will select “Communication Request Forms” from the first column   – 7 down)
  2. On this page, you will select the type of communication you wish to request – Email, Direct Mail of Demographic.
  3. You will then have to accept the mass communication policy. Once accepted, you will be taken into a form where you will provide us with all of the information we will need to process your request. If you are creating a text email, you will include the text and preferred subject line. If you are creating an HTML email, a mass communications representative will connect with you on how to submit your code.
  4. Once you submit your request, it will be routed to the appropriate mass communications send team.
    1. All email communications that are intended for a general alumni audience, demographic requests and non-solicitation mailings are managed by the Clemson Alumni Association and will be serviced by Megan McDow.
    2. All donor-related email communications, especially those with a audience defined by donor level and direct mail solicitations are managed by the Advancement Marketing at Communications Team. Please direct all questions to Erin Phillips.
  5. Your content must be reviewed for brand compliance, proper donation link inclusion and approved by Marketing and Communications before being sent, so please be sure to send it in plenty of time prior to your preferred send date.
  6. You will receive a confirmation email and a confirmation as to whether your send date is approved or if a new date needs to be evaluated based on the email calendar which you should evaluate before requesting your preferred send date. The only reasons there will be any change in date will be a high volume of email requests on your preferred send day, holiday closing or inclement weather closings.

Clemson Club Echo Advertising

The Clemson Alumni Association prides itself on enhancing the lifelong Clemson experience by serving, involving, informing, and engaging our alumni, current and future students, and friends of the University. The Echo newsletter was created as a resource to achieve these goals. Promoting content that exhibits a strong connection to the Alumni Association is just one of the many ways we attempt to fulfill our mission. Therefore, the Alumni Association will consider promoting certain events that are hosted by officially approved extensions of the Alumni Association, including the Clemson Alumni Club Network.

Official Clemson Clubs may submit up to three events throughout the year for consideration in the Echo. Each event must adhere to the below criteria to be included. Submissions will be accepted on a first-come, first-served basis and each Echo will only include up to four club and group event submissions per issue. The staff of the Clemson Alumni Association will evaluate all submissions and will have sole discretion as to what content will be included in the Echo.

Each event submitted must adhere to all of the following criteria to be considered for inclusion:

  • Events that exhibit a strong connection to/support the Clemson Alumni Association
  • Events that are not are not focused on a small/specific geographic location
  • Events that are open to all alumni or a large segment of the alumni population (i.e. South East, North East, West Coast, etc.)
  • Events where at least a portion of the proceeds benefit Clemson University, the Alumni Association, the university campaign and/or an officially charted entity of the Alumni Association

Social Media Advertising Guidelines

The Alumni Association will not post content promoting initiatives by Clemson Clubs on alumni social media accounts. Due to the vast number of Clemson Alumni clubs and the limited geographic audience targeted by club events, the Alumni Association cannot fairly and equitably promote all events hosted by these entities. However, clubs and groups are encouraged to tag Alumni Association social media accounts in posting their events.

Below are examples of content that will not be promoted by the Clemson Alumni Association in the Echo

  • Selling of any goods or services that are not sold specifically by the Alumni Association or its contractual partners
  • Selling of any goods or services sold by entities that are not approved, university vendors
  • Content that involves:
    • Illegal activity
    • Hate speech
    • Harassment
    • Minors
    • Sex/nudity
    • Shock value
  • Events that are:
    • Unsafe
    • Deceptive/misleading
    • Not compatible with the missions and values of the Clemson Alumni Association
    • Political campaigns
    • Spam
    • Content that is asking to share a post for a contest that is not being held by the Alumni Association
    • Content that involves court cases

Guidelines for submitting content to be promoted

  • Must be submitted within one week prior to the dissemination of the desired Echo issue
  • The club must submit an advertisement or story that meets the criteria outlined for the Echo
  • The Alumni Association staff has sole discretion on what content will be promoted in the Echo

Mass Communication Policy

 

  1. Purpose:
    To provide the best possible service to our constituents through strategic communications while at the same time maintaining the confidentiality of the information entrusted to us by our constituents.
  2. Definitions:
    Fundraising Database means the primary system of donor and alumni constituent information, including but not limited to the giving history, contact information, development reports, and event attendance of constituents. The Advancement Services Information Technology department supports the fundraising database for the Advancement and Alumni Relations division, which is currently Blackbaud CRM, also known as CADENCE.
  3.  Policy:
    1. Information Requests:
      Clemson University maintains information containing biographical, academic, demographic and gift information on alumni, donors, friends and students. This information exists exclusively to support the work of Clemson University and to assist the University community in transacting business related to Clemson University programs. Much of this information is protected under various state and federal laws and may not be used in violation of those laws. Clemson University abides by the Family Educational Rights and Privacy Act (FERPA) regulations. All requests for information from members of the media or government relations must be referred to the Clemson University Office of University Relations. Information from the fundraising database (CADENCE) is not available for release for commercial or political purposes at any time. No information will be released to vendors or third-party partners unless approved and a confidentiality form has been signed. By agreeing to the user acknowledgement statement, you are required to abide by the policies as outlined below:

      1. Constituent information provided may only be used for the purpose intended and the purpose must be legitimate and lawful in nature.
      2. The sale or transfer of the information to another party is strictly prohibited.
      3. Information is provided for a one-time communication purpose only and is approved for university-related activities only. University-related activities include: Alumni relations, public relations, research, continuing education programs, giving requests, and recruitment.
      4. Approved requestors must have authority and/or responsibility for the business, organization, or group for which they are requesting information.
      5. An alumnus may request information from the database on behalf of a group or club they represent or have oversight authority as long as the alumni group is recognized by the Clemson Alumni Association. Information provided to volunteer alumni constituent groups will be limited to those alumni who are affiliated with the requesting group.
      6. A copy of the material to be distributed must be shared before the requested information is released.
      7. A request for demographic data may be provided but would include no personal details.
      8. Absolute confidentiality of the information provided is expected and is the responsibility of the requestor.
    2. Communication Requests to Constituents:
      All requests for alumni information must be submitted through the alumni information online request forms at https://alumni.clemson.edu/new-information-request-forms/ and linked from the Alumni homepage clemson.edu/alumni. Groups with a legitimate business need may request information from the fundraising database (CADENCE). Approved requests for information may be used for demographics analysis or for communications purposes.

      1. Upon review and approval of an alumni communication, mailing list files may be provided.
      2. Email addresses will not be provided to requestors. All email communications will be sent through the Alumni Association’s centralized email utility and will be scheduled and distributed to approved audience.
      3. Phone numbers may be provided upon approval and receipt of signed nondisclosure agreement.
      4. Individual information on alumni classmates will not be released. The alumni team will either reach out to the classmate on your behalf or you may look up if that classmate has made their contact information available to the public in the Alumni Directory.
    3. Estimated Timing:
      All requests for information release or communication to alumni should be submitted at least ten business days prior to the requested date. Delivery timeline will be provided to the requestor once the communication has been approved.
    4. Copyright and Trademarks:
      Clemson University and Alumni Association logos, names, trademarks and service marks are property of the Clemson Alumni Association or Clemson University. Display or use of these marks requires prior written permission by these entities. The Alumni Association respects the intellectual property of others and ask that our users to do the same.     5. Specific Constituency Groups:
      1. EU Residents
        Clemson University and the Clemson Alumni Association are committed to abiding by the standards in the General Data Protection Regulation (GDPR). As an organization, we request the consent of residents residing in the European Union (EU) to receive emails, postal mail or phone calls from Clemson University. To learn more about Clemson University’s GDPR policy, please visit: https://ccit.clemson.edu/gdpr/. For those living within the EU who would like to receive communications from Clemson University, they must complete the form located at https://cualumni.clemson.edu/eu-consent to provide consent to receive communications.
      2. Athletic and Academic Donors
        Constituents who are IPTAY-only donors may not be communicated with by Development and Alumni Relations except for joint IPTAY and Alumni events or with approval by the IPTAY Marketing and Communications team. Constituents who are academic donors may not be communicated with by IPTAY unless they are IPTAY members or with approval by the Alumni Association.
      3. Children
        Constituents under the age of 18 with identified birthdates in the database will be tagged with appropriate solicit code to not contact with the exception of IPTAY Tiger Cub Communications.
      4. Students
        Enrolled students may not be communicated with or solicited with the exception of student-focused development events (Give Day, Legacy Day, and Week of Gratitude), scholarship recipients through the approval of the Financial Aid Office, messages from University officials, University college communications and IPTAY Collegiate Club member communications or with approval by the Alumni Association. Communications regarding Ring Purchases, Ring Ceremony, Senior Week, Clemson Club Summer Send Offs, Senior Class Gift, and $2 Bill Distribution at Graduation will go through the Office of Institutional Research to verify student credit hours and acceptance.
      5. University Leaders and Groups
        Committees in the fundraising database (CADENCE) which include high-priority groups and university leadership may not be communicated with unless approved by the Alumni Association.
    6. Appended Lists:
      Appended lists can be submitted in the effort to expand the email communication reach if the lists abide by the following guidelines:

      1. All appended lists submitted through the information request form for email distribution will be reviewed and approved by the Alumni Association and University Relations. The justification on the request form must include the purpose of the communication, the reason these individuals must be included in this distribution and follow the remaining guidelines listed in the bullets below.
      2. The list must not include clemson.edu email addresses as those audiences are already included in the fundraising database (CADENCE) and should be identified with their constituent ID. Please work with the Clemson Alumni Association to identify those individuals who are affiliated with the university for these communications.
      3. The party submitting the list has consent from each individual on the list to receive email from Clemson University and its approved colleges, departments, units, clubs, groups and affiliates.
    7. Receiving Communications:
      All individuals who have attended and graduated from Clemson University and those who update their contact information within the fundraising database (CADENCE) through email, a phone call or through the Contact Update Form are providing consent to receive communications from Clemson University and its approved affiliates. If an individual does not wish to receive email communications from these entities, they must contact the university through email or a phone call to a development or alumni staff member or select “Opt Out of Email” in any email communication they receive in their email inbox. Opting Out of University Email does not opt an individual out of IPTAY communications. If an individual wishes to receive no communication from the university including direct mail, solicitations, Clemson World magazine and email communications, they must send an email to cualumni@clemson.edu, call 864-656-2347, or contact a development or alumni staff member to formally request the change and their record will be marked appropriately.
    8. Policy Violation:
      Users that violate this policy will have their access to constituent information and communication with constituents suspended either temporarily or permanently and the matter will be turned over to the University.

Submitting Content for the Echo Enewsletter

The Clemson Alumni Echo Enewsletter is distributed every other Wednesday. There are TWO options for submitting an announcement to the Echo:

1. Advertisement: If you provide an ad, not a story, the new ad dimensions are portrait – 310 px wide by 542 pixels tall. Please send me a new ad for the next issue at these dimensions by the Friday before the distribution date.

2. Story: For all story submission your photo must be close to 313 px x 231 px. This is to ensure any faces or words fit within the visible space of the pic.

Requested format for a story:
  • An image that portrays your story
  • Short, concise headline (20 characters or less)
  • One sentence of descriptive text (200 characters or less)
  • URL Link to the rest of the story or for call to action: “read more” , “view photos”, “view video”, “give now”
Please remember with the format, we have less room for text and a great thumbnail image can really drive your open rate (we size the images for you). Alumni Brand Guidelines

In order to protect use of the name “Clemson University,” the wordmark, the seal and University tiger designed in 1995, the academic logo designed in 2009, and other official subordinate graphic symbols, the Clemson University Board of Trustees has determined that the name “Clemson University,” the word “Clemson” used in the context of Clemson University, the University seal, the University tiger, the Academic logo, and other authorized symbols shall not be used for any noncommercial official, quasi-official, promotional or similar purpose by any organization, group or activity without the express approval of the Board of Trustees.

Further, to ensure consistency in representation of the Clemson Brand, non-authorized logos, wordmarks or symbols may not be used to represent Clemson University or any of its colleges, schools, divisions, departments, programs or offices without the express approval of the Board of Trustees.

Lastly, University units using Clemson University funds to produce publications or other communications materials must include approved Clemson branding. The Board delegates to the administration the responsibility for implementation of this policy, including authority to develop and publish guidelines for appropriate use of Clemson University’s name, symbols and logos, with approval of the Administrative Council, with the proviso that the final academic logo design will be approved by the Institutional Advancement Committee. In these cases, “the administration” refers to the Office of Creative Services of the Division of Advancement.

In keeping with existing procedures, responsibility for monitoring use of symbols created in the Athletic Department will be delegated to the Athletic Department.

Clemson University maintains information containing biographical, academic, demographic and gift information on alumni, donors and friends. This information exists exclusively to support the work of Clemson University and to assist the University community in transacting business related to Clemson University programs. Much of this information is protected under various state and federal laws and may not be used in violation of those laws. Alumni information records, both hard-copy and electronic, are highly confidential and protected by the Family Educational Rights and Privacy Act (FERPA). Additionally, the South Carolina Freedom of Information Act (FOIA) defines much of the information received, created and maintained by Clemson University to be “public information” and disclosure of those records is mandated by the specific provisions of FOIA. The S.C. Family Rights to Privacy Act prohibits disclosure of personal information about an employee, student or other person for any commercial purpose, unless the individual has consented to such release. The Clemson Alumni Association seeks to provide assistance for programs, communications, and events, which bring together Clemson alumni. In order to provide the best possible service to those with legitimate needs for such information, and at the same time maintain the confidentiality of the information entrusted to us by our alumni, the following policies have been developed and approved by the Alumni Association Board of Directors. The purpose of the Alumni Association Information Policy is to provide guidance regarding the receipt, maintenance, use and disclosure of any information contained in the alumni database.

The following may request information from the Alumni Association database:

• Alumni constituent groups, in support of approved activities

• University-affiliated organizations and employees

• Other colleges and universities seeking the location of alumni with degrees from both Clemson and the requesting institution.

• Law enforcement, government, student loan, and alumni locator agencies

• Media

• Alumni Association corporate sponsors

INFORMATION AVAILABLE: Lists will provide: Name, Address, City, State and Zip. Phone number may be requested, if applicable. Lists can be requested for breakdown of state, college, major, degree, zip code. Other sorts may be available upon requests and all are pending available data in the Raiser’s Edge alumni database. No information will be released to any internal or external requestor for the purpose of commercial solicitation.

For those requesting individual information on alumni classmates, they will be referred to www.clemson.edu/alumni to the Alumni Directory where they will find name and contact information for any alumni who has made their information available for access. All requests seeking information on another person will be forwarded to that person so that he/she can decide whether or not to contact the requestor. No information will be released for those records coded “Do Not Release” indicating the alumnus or alumna has requested no University contact.

COMMUNICATION TO ALUMNI: Approved requests for information may be used for demographics analysis or for communications purposes. Upon review and approval of an alumni communication, the requestor will be provided with a mailing list file including name and address in an MSExcel, .xls, or .csv file unless another format has been agreed upon. Email addresses will not be provided to requestors as we ask that all email communications be sent through our centralized email utility and will be scheduled and distributed to your specified audience by the Alumni Association. All requests for communications must be submitted through the Clemson Alumni Association through the Alumni Information online request form. ESTIMATED TIMING: All requests for information release or communication to alumni should be submitted at least ten business days prior to the requested date. Commercial Use of Marks

The demand by Clemson University students, alumni and friends for products depicting a University trademark, logo or symbol has reached new heights. Almost 550 manufacturers are licensed today for commercial use of the marks. As a result, Clemson University manages a licensing program to ensure that the public properly identifies and associates University logos on products bearing the institutional marks.

The Clemson University licensing program is designed to protect the integrity and ensure the proper use of the University name and logos. In order to administer the program, Clemson has established formal licensing procedures that will allow the institution to benefit from the commercial use of both the registered names and symbols.

The Clemson University licensing program is also designed to establish a cooperative relationship with licensees to assist in developing a marketplace demand for “Officially Licensed Clemson Products.” The marketing strategy drives the consumer to purchase products that directly support the institution. The end result is a mutually beneficial partnership.

If you know of an event where Alumni are gathering, please let me know so we can get it on the Alumni Calendar. This calendar is intended for our external audience and can be accessed through both our Alumni homepage and the Alumni App.

Information about the event needs to be submitted at least one week prior to the RSVP date (or event date if there is no RSVP) if at all possible.

Frequently Asked Questions – Club & Group Email Distribution

Q: Who is included in my Clemson Club or Special Interest Group that I can reach by email?
A: All Clemson Clubs are created based on zip codes within the defined geographic area. Special Interest Groups are based on a common interest, degree or demographic. When a club email is sent through the Alumni email system, you reach everyone in our database living within your assigned zip codes who has provided current contact information and given consent to be contacted. When a Group email is sent thorough our system you reach everyone who has expressed interest or who meets the criteria of the group who has provided their current contact information and given consent to be contacted allowing you to reach a broader audience with your news, events and fundraising.

Q: What types of emails can be sent by the club?
A: Clemson Clubs and Special Interest Groups are encouraged to share information with their designated audiences based on the following criteria:

Q: Who can request to send an email?
A: Club and Group Presidents or a person within the board of the club or group designated by the president are allowed to request emails. The CAA liaison to the club or group must be notified as to who is the designated requestor.

Q: How do I go about reaching out to the alumni I want to reach?
A: Clemson Clubs and Special Interest Groups can request an email be sent to their constituency base by completing the Info Request Form on the CAA website. Instructions for doing so can be found at https://alumni.clemson.edu/requesting-an-email-distribution-clubs-and-groups/.

Q: Can I send email to a community that my club is not in?
A: If your club or special interest group would like to reach beyond your defined target audience to share an event, update or fundraising opportunity, the CAA engagement team, marketing and the areas impacted must review the request and determine its relevance to the extended audience.

Clemson Alumni Association Social Media Promotion Policy

The Clemson Alumni Association prides itself on enhancing the lifelong Clemson experience by serving, involving, informing, and engaging our alumni, current and future students, and friends of the University. Our social media accounts have been implemented to achieve these goals. Promoting content that exhibits a strong relationship with the Alumni Association is just one of the many ways we attempt to fulfill our mission. Therefore, the Alumni Association is open to promoting certain events and material that are not hosted solely by the Clemson Alumni Association, but by officially approved extensions of the Alumni Association.

Below are the approved guidelines for content that will, and will not be promoted by the Alumni Association on the official Alumni social media websites. The criteria for content that will be considered for promotion is also included.

  • The content is sponsored by the Clemson Alumni Association
  • The content is sponsored by the University
  • The content benefits the Clemson Alumni Association, alumni, and students all together
  • The Content contributes to the mission of the Clemson Alumni Association
  • If the content is an event:
    • The majority of those who organize/host the event are alumni
    • The majority of those participating are alumni/students
    • The event benefits a large amount of alumni
    • Proceeds of the event benefit Clemson University, the Alumni Association, the university campaign and/or an officially charted entity of the Alumni Association
  • The content targets the Clemson Alumni Association’s preferred audiences
  • The content networks current students/young alumni with older/current alumni
  • The content provides alumni with opportunities to give back to Clemson University
  • The content that is deemed to be a feature story by our discretion

Club and Group Network Initiatives and Student Clubs and Organizations

  • The Alumni Association will not post content promoting initiatives by Clemson Clubs and Special Interest Groups due to the vast number of entities that fall within this categorization. However, clubs and groups are encouraged to tag Alumni Association social media accounts in posting their events.
  • In the same vein, the Alumni Association will not promote the initiatives of the various student groups and organizations on campus but will promote initiatives produce by Student Affairs. However, student groups and organizations are encouraged to tag Alumni Association social media accounts in posting their events.

Content that will not be promoted by the Clemson Alumni Association

  • Selling of any goods or services that are not sold specifically by the Alumni Association or its contractual partners
  • Does not have a strong/contractual relationship with the Clemson Alumni Association

  • Events that are:
    • Unsafe

Requesting an Email Distribution – Clubs and Groups

We are happy to assist university approved entities in getting out emails to their club alumni base. According to University policy and Can Spam Act laws, we are not allowed to provide you with alumni email addresses; however, we are happy to send your information on your behalf.

We will distribute it through our email system utilizing the university’s alumni database – which includes all alumni who live within the designated zip codes for your club. This will mean that our emails will reach a broader audience than your current list. We can send text emails as well as HTML emails. We just need for you to provide the text or the HTML code.

Why does this benefit you:

  1. Alumni typically update their contact information with the university or with the alumni association on a daily basis so we most likely have more up-to-date information.
  2. We manage opt-in and opt-out requests per Can Spam Act laws. It is required that in every email sent from any entity (in this case the university, clubs and any college or department) offer an opportunity to opt-out of emails from that entity – Clemson University. We have the code in all emails sent through our system to handle this request automatically.
  3. IF SOMEONE SENDS AN EMAIL TO THOSE INDIVIDUALS who have requested to opt-out – even though it is not coming from the university email system, but represents the university (I.e. Your email account or anyone in your club) – the university is then liable for all fines associated with not honoring their request which can be up to $50,120.00.
  4. Since university communications policies state this is not allowed, those who send the email may be liable for the fines.

Clemson University maintains information containing biographical, academic, demographic and gift information on alumni, donors and friends. This information exists exclusively to support the work of Clemson University and to assist the University community in transacting business related to Clemson University programs. Much of this information is protected under various state and federal laws and may not be used in violation of those laws or without an individual’s consent. The Clemson Alumni Association seeks to provide assistance for programs, communications, and events, which bring together Clemson alumni, donors, and friends. In order to provide the best possible service to those with legitimate needs for such information, and at the same time maintain the confidentiality of the information entrusted to us by our alumni, donors, and friends we ask that you submit your request for contact information, including mailing lists or demographic information, via this online form. Email addresses will not be released, but you may submit a request for an email distribution via this form as well. Thank you in advance for your partnership. To request an email, please follow this process: 

  1. In order to process your request, please begin by setting up a login and password with us at https://cualumni.clemson.edu/SSLPage.aspx?pid=779&srcid=779. You will only have to do this once and then you can log straight into the system each time you have an email. Emails can be sent within 24-48 hours as long as there is no university email scheduled during that time which would cause overlap in audiences and cause an influx of Clemson email into personal email inboxes.
  2. Once you have set up your account, log in and go to https://alumni.clemson.edu/new-information-request-forms/ (you can also find this on www.clemson.edu/alumni and hovering over “resources” in the upper right corner and a drop down will appear where you will select “Email Distribution Request” from the first column   – about 6 down)
  3. On this page, you will select “Clemson Club.” You will then have to accept our email distribution policy. Once accepted, you will be taken into a form where you will provide us with all of the information we will need to process your request. If you are creating a text email, you will include the text and preferred subject line. If you are creating an HTML version, you will indicate that in the fields and then send your HTML code to dmorg@clemson.edu. Your code must be prepared for email use and not web page use.
  4. Your email content must be reviewed and approved before being sent, so please be sure to send it in plenty of time prior to your preferred send date either via the form or to dmorg@clemson.edu.
  5. You will receive a confirmation email and should expect that your request will be completed within 2 days of the request. The only reasons there will be any further delay will be a high volume of email requests on your preferred send day, holiday closing or inclement weather closings. In many cases, you can expect that your email will be sent within 24 hours of receipt but please do not count on this being the case and ensure that you provide us plenty of time to process and account for any of the potential issues previously mentioned.

Exclusive Partner Policy

Clubs and Special Interest Groups fall under the Clemson Alumni umbrella and therefore must follow the same rules with exclusive partners that the university, athletics and alumni follow.

Below is the list of Exclusive Partners that athletics and Alumni have contracts with. This means that competitors that are solicited for sponsorship of events on the club and group level cannot be offered promotional rights. If they choose to provide monetary support, they can do so, however their logo and or company purpose cannot be shared on websites, social media outlets or other promotional avenues that could compete with our exclusive partners promotions.

If a sponsorship is secured by a competitor, Alumni staff must be informed and the proper policies must be followed.

1)     As Clemson is an academic institution, beer, wine, alcohol, tobacco, firearms, religious, call to action gambling or political advertisements will require rigorous review and like all advertising (athletic or campus wide) will require the prior written consent of Clemson. If permission is granted, the beer advertisements must be educational and branding advertisements and if gambling advertisement is approved, they must highlight the educational component of the SC Educational Lottery. In each case, there shall be no call to action advertisements. In addition, Clemson Clubs and Special Interest Groups cannot co-brand on promotional products with any alcohol, alcohol distributor or bar.

2)     Our exclusives include the following;

Licensing Terms and Requirements

The demand by Clemson University students, alumni and friends for products depicting a University trademark, logo or symbol has reached new heights. Almost 550 manufacturers are licensed today for commercial use of the marks.

As a result, Clemson University manages a licensing program to ensure that the public properly identifies and associates University logos on products bearing the institutional marks.

The Clemson University licensing program is designed to protect the integrity and ensure the proper use of the University name and logos. In order to administer the program, Clemson has established formal licensing procedures that will allow the institution to benefit from the commercial use of both the registered names and symbols.

The Clemson University licensing program is also designed to establish a cooperative relationship with licensees to assist in developing a marketplace demand for “Officially Licensed Clemson Products.” The marketing strategy drives the consumer to purchase products that directly support the institution. The end result is a mutually beneficial partnership.

By using the Clemson Brand alone or in a design created by the university, yourself or someone you have acquired to create content or branding, you agree to using an approved vendor to produce your items and/or to submit the design for licensing approval understanding fees may be associated with licensing.

In addition, you agree to accept and make any changes to a design requested by the university and/or alumni association.

Club and Group Email Distribution Guidelines

Email Distribution Guidelines for Clemson Clubs and Special Interest Groups rev. 11.1.14

Effective, March 28th, 2011, the Alumni Association staff will resume the responsibility of distribution of all Clemson Club and Special Interest Group emails to alumni audiences. This change is being made to:

1) improve consistency between current Club and Group access and distribution methods,
2) ensure compliance with Alumni Brand Standards and Guidelines,
3) limit liability and risk by reducing the number of individuals sending messages,
4) reduce volunteer involvement with technical troubleshooting or software/hardware issues,
5) increase visibility, control quantity, and coordinate release of ALL email messages being distributed to alumni.

This new procedure will not impact many Clubs and Groups who already depend on Alumni Staff to send out their emails.

New Procedure for Club or Group Email Communication:

1) The Club or Group President or their designee should submit a request for email distribution via the Email Distribution Request link on the Alumni Homepage www.clemson.edu/alumni. Please save this link for easy reference. Direct link follows and BBNC login is required: https://cualumni.clemson.edu/SSLPage.aspx?pid=1309

2) Complete the required fields, noting your Club/Group name and distribution criteria, and populate your email message including: subject of the message and any hyperlink URL’s. The use of acronyms and abbreviations should be avoided as much as possible. Please note, any additional graphics or images must be under 4mb and emailed directly to your assigned Engagement Director with CC: to Megan McDow mcdow@clemson.edu .

3) Please note in your request if you require a test message be sent to you prior to final distribution or if you would prefer the message go out without your review.

4) Alumni Association Staff will process your request using your branded Club or Group email header template and will distribute your message within seven business days of approval of your request or approved test message (if you request one). Please indicate in your submission your preferred delivery date and time if it differs from this timeframe.

5) Please limit your email communication to your club or group members to no more than once every week.

6) E-mails should be restricted to promoting, advertising, or communicating items of importance with direct ties to Clemson. No personal or business solicitations should be delivered to Clemson Club/Special-Interest Group members without prior approval from the Alumni Office.

  1. Emails announcing obituary information, regardless of the individual’s participation within the club/group/organization/etc., will
    not be sent through this email communication process. It is recommended that all communications about topics of this matter should
    be handled via social media or personal email accounts. Email addresses will not be provided to you in order to share this message in
    accordance with Can Spam Act laws and university email communication policies.

7) The goal of each communication should be to articulate the purpose of the correspondence in as simple, succinct, and straightforward manner as possible. Please use the following checklist when crafting a message, especially when promoting an event or activity:

  1. Who is the message targeting? Can the reader easily discern this? Will they know why they are receiving the message?
  2. Who is sending the message? In what capacity does the sender serve – why are they in a position to craft such a message?
  3. Why is the message being sent? Summed up in its simplest form, what does this message what its reader to do or learn?
  4. If promoting an event, is the time and location clearly indicated? Is the purpose of the event stated?
  5. If the reader desires more information, is it clear how the reader can obtain this?
